Install Auto-Link for monday.com in 5 Minutes

With this installation manual you will be able to set up our Auto-Link app in your monday.com account in a few steps
Step 1

Install the Auto-Link App in the monday.com App Marketplace

Xebia’s Auto-Link app can be installed in the monday.com App Marketplace and can be tested for a 14-day trial using the link below. This requires admin access to your monday.com account.
 
Step 2

Create a New High-Level Board

Create a new high-level board. This board provides a consolidated overview of key projects or processes, offering a centralized hub for tracking progress, status, and important details. It serves as a strategic dashboard for effective project management and decision-making.

  1. Click on the blue + icon in the upper left corner of the monday.com screen.
  2. Select New board.
  3. Name this board High-level board (or another recognizable name).
Step 3

Create a Low-Level Board and Save as a Template

A low-level board in monday.com represents a granular view of specific tasks, sub-tasks, or detailed action items within a project or workflow. It serves as a focused workspace where teams can track and collaborate on the smaller components that contribute to the larger objectives outlined in the high-level board.

  1. Create a new board. This will become a low-level board.
  2. Name this board Low-level board.
  3. Subsequently, look for the three dots in the upper right corner of the screen.
  4. Then, select More actions > Save as a template.

Add a 'Connect Boards' Column to the High-Level Board

  1. Move back to your high-level board.
  2. Add a new column by clicking the + on top of your board.
  3. Add a Connect boards column to your monday.com board.

Connect your High-Level Board to the Template with a Two-Way Connection

  1. Now, click on the three dots next to the Connect boards column on your high-level board.
  2. Select your low-level board template.
  3. Next, make sure you check the box Create a two-way connection.
  4. Press Connect boards to finalize the connection.
Step 6 (optional)

Create a Mirror Column and Select a Field to be Shown

A mirror column in monday.com dynamically reflects and updates data from a source column in real-time, eliminating the need for manual updates and ensuring consistent information across multiple columns, boards, or projects.

  1. Add a new column to your monday.com board. Select mirror column.
  2. Select the field you would like to mirror from your low-level board in your high-level board. This can be a timeline, a specific date or a budget.



Step 7

Create a Custom Automation in the High-Level Board

  1. Create a custom automation in the high-level board and choose any trigger you like. This will trigger the creation of your template board.
  2. Select the action by scrolling all the way down until you find Apps and select Duplicate board and connect to trigger item.
  3. Select the template you've just created by clicking template.
  4. Select the connect boards column you've just created in your high-level board by pressing column.
  5. Create the automation. 
Now, if you activate the trigger, a new low-level board will be created and all tasks are automatically connected to the trigger item.
Step 8

Create a Custom Automation in the Template Board

Create a custom automation in the template board you’ve created. This automation will make sure that items that are added later on the low-level board, are automatically connected to the same trigger item. If you’ve created a mirror column, the data of the newly added items will also be added to the mirror column.


  1. For the trigger, choose When an item is created. For the action, scroll down until you see Apps and select ‘Sync connect board column’.
  2. Select the action: select the Connect board column in your Template board.
  3. Create the automation.

Congratulations, You're All Set!

The app ensures that all the items in the low-level board are connected automatically to the trigger-item in the high-level board.

This enables you to have a clear overview of all your monday.com items on a higher-level board, which showcases your projects and is ideal for managers. On the other hand, the lower-level boards provide a more in-depth description of your projects.

You can create as many templates and automations as you want and create a tailor-made project flow and summarize it all on the high-level board.

Due to the two-way sync, every change made in the high-level board will be reflected in the low-level board and vice versa.
